Handle an airport pickup with flight tracking

Book an O'Hare or Midway pickup with the flight number, let Renaro follow the flight, and send the chauffeur when the plane is close.

For: Owners and admins, Dispatchers Last checked

Before you start

  • Flight tracking works on Scheduled reservations with a flight number.
  • Pick the airport from the address suggestions, so Renaro knows it's an airport pickup.
  • Choosing how pickup times follow the flight needs the Owner or Admin role (part 1). Dispatchers can skip to part 2.

Steps

Part 1: Choose how pickup times follow the flight

  1. Step 1: Click Settings, then under Integrations click Integrations.

  2. Step 2: On the Flight Tracking card, click Configure.

  3. Step 3: Turn on Enable flight tracking.

  4. Step 4: Under Pickup auto-adjust, choose one: Keep booked pickup time (no auto-adjust), Match the flight ETA, Minutes after wheels down or Minutes after gate arrival.

For the last two, set Offset (minutes), such as 20 minutes after the plane lands to allow for bags.

  5. Step 5: Click Save. The card shows Active.

Part 2: Book the airport pickup

  1. Step 1: Start a reservation as usual. Under When, choose Scheduled.

  2. Step 2: In Pickup, type the airport, such as O'Hare, and choose it from the suggestions.

  3. Step 3: Trip type changes to Arrival and Pickup type to Airport (Domestic), detected from the airport. For an international arrival, click Change and choose Airport (International).

  4. Step 4: Fill in Flight number, such as UA 1542, and the Terminal and Gate if you know them. Renaro shows Tracked automatically — live status appears on the dispatch board and booking.

  5. Step 5: Put meet-and-greet or sign instructions in Dispatcher notes, then finish the reservation.

Part 3: Follow the flight and send the car

  1. Step 1: The Flights strip on the Dashboard lists flights in the next 24 hours that are delayed, cancelled or diverted, with the passenger and pickup time.

  2. Step 2: Open the reservation to see the Flight card: Scheduled arrival, Estimated arrival, and Pickup auto-adjusted when Renaro moved the pickup time.

  3. Step 3: Assign the chauffeur once the flight is due within an hour. Renaro won't let you assign an airport pickup earlier than that.

See Assign a driver and vehicle.

If something looks wrong

  • Assigning shows Manual assignment blocked by dispatch policy on an airport trip.

The flight arrives more than 60 minutes from now. Wait until it's within the hour, then assign.

  • The Flight card says Flight data is stale — confirm status before dispatching.

Check the flight with the airline, then click Set manual status, choose the status, add a Reason, and click Apply override. Choosing Landed lets you assign right away.

  • The Flight card says the flight isn't being tracked yet.

Click Track flight with the flight number on the card. You'll see a message that Renaro is now tracking it.

  • An On demand airport pickup with a flight number can't be assigned.

Flights are only followed on Scheduled trips. Change the trip to a scheduled pickup, or remove the flight number, on the reservation.

  • Save failed on the Flight Tracking card.

Flight tracking isn't set up on our side for your account yet. Call us.

  • The Flight Tracking item in the Settings menu shows an empty page.

Use the Flight Tracking card on the Integrations page instead (part 1).
